KPMG is seeking a dynamic Administrative Coordinator to provide senior-level support to the Office of the CEO. This pivotal role is responsible for delivering comprehensive administrative and operational assistance, ensuring the timely and effective execution of projects while enhancing overall team efficiency. This position will require regular in-person attendance in our Toronto office.

What you will do
Senior Leadership Support:
  • Deliver comprehensive administrative support to the CEO's office, ensuring seamless day-to-day operations.
  • Provide administrative and strategic project support as required by the office of the CEO.
Operational Support:
  • Assist in managing the CEO's calendar and communications, prioritizing high-impact tasks to optimize their time.
  • Serve as a reliable backup for the Executive Assistant during absences, ensuring continuity in executive support
Event and Travel Management:
  • Coordinate logistics for internal and external meetings, including client engagements and team-building activities, ensuring all details are meticulously handled.
  • Arrange complex travel plans, both domestic and international, including business visa requirements.
Meeting & Communication Management:
  • Create high-quality PowerPoint presentations for various audiences, ensuring all content is visually engaging and on-brand.
  • Prepare meeting materials, including briefing documents and agendas, and document meeting minutes while following up on action items.
  • Oversee office supply orders and support equipment procurement.
Expense/Time Reporting:
  • Effectively track and reconcile expenses and submission of time reports.
  • Acts as a liaison between Partners and Delivery Centre on billing requirements, as applicable
What you bring to the role
  • Post-secondary education or an equivalent combination of education/experience as a coordinator supporting senior leadership
  • 3+ years in a dynamic administrative role or as a project coordinator in a complex and highly regulated industry
  • Advanced skills with MS Office Products, in particular, Microsoft Word, Outlook, Excel, and PowerPoint (integrating data, graphics, and multimedia elements to enhance presentation impact)
  • Excellent communication skills.
  • Good judgment and analytical skills with a focus on attention to detail.
  • Capable of working independently and taking ownership of tasks.
  • Proactive in anticipating and responding to team's needs and manage multiple priorities in a highly organized manner.
  • Excellent time management and organizational skills
  • Highly effective at managing urgent requests and prioritizing work while using sound judgment
  • Ability to handle highly sensitive and confidential information requiring a high level of discretion.
